										<content:encoded><![CDATA[<p><span style="font-weight: 400;"><strong>Productivity becomes increasingly vital in a fast-paced workplace where we seem to be getting busier by the day.</strong> Just do a quick search on the internet and you’ll find about a thousand different </span><a href="https://www.optimistperformance.com/captains-blog/news/how-to-increase-productivity-7-tips-from-the-optimist-performances-team/" data-wpel-link="internal"><span style="font-weight: 400;">tips</span></a><span style="font-weight: 400;"> on how to </span><a href="https://www.wired.co.uk/article/how-to-focus-concentrate" target="_blank" rel="noopener external noreferrer" data-wpel-link="external"><span style="font-weight: 400;">increase</span></a><span style="font-weight: 400;"> it. However, productivity is a highly personal matter, and there are as many solutions as there are people. While many leaders and organisations are working hard to improve productivity, we believe there is a more pressing question: <strong>are we, as leaders, truly allowing people to be productive?</strong></span></p>
<p><span style="font-weight: 400;">Productivity is different for each individual, so even when we implement new ways of working with the best of intentions, we may wind up obstructing rather than helping.</span></p>
<h3><b>Is it really about productivity or is it workload?</b></h3>
<p><span style="font-weight: 400;"><strong>It doesn&#8217;t matter how many tactics, tips, or benefits people have to boost productivity if they are overworked.</strong> Even if the project is completed, which it usually is, two things happen: first, the quality of the job is not as good as it could be, and second, employees are working extra, which leads to dissatisfaction, </span><a href="https://www.optimistperformance.com/captains-blog/news/how-can-leaders-help-with-work-related-stress-by-optimist-performance/" data-wpel-link="internal"><span style="font-weight: 400;">stress</span></a><span style="font-weight: 400;">, and burnout. Furthermore, continued overworking <a href="https://www.sciencedirect.com/science/article/pii/S0160412021002208" target="_blank" rel="noopener external noreferrer" data-wpel-link="external">can lead to serious health problems.</a> </span></p>
<p><span style="font-weight: 400;"><strong>First and foremost, we must consider how much we are asking of people.</strong> We can&#8217;t always control how much work we have, and even when we can, there are a lot of other factors that might influence it. People quitting their jobs, vacations, sick days, and so on&#8230; we&#8217;re all sure to feel like we&#8217;ve got too much to do and not enough time to do it, at some point. However, as leaders, we must consider long-term situations, and while we may need to ask members of our team to put in extra effort on occasion, we must ensure that this does not become the norm.</span></p>
<p><span style="font-weight: 400;"><strong>Having clear processes and timings for how long each task takes can be a good place to start.</strong> We have a tendency to underestimate the amount of time it takes to complete particular tasks. So, while we may assume it will be a simple process, it could take hours. We also need to prioritise more and make sure that everyone understands what the individual, team, and organisation&#8217;s priorities are so that we can all work together to complete projects and assignments on time.</span></p>
<p><span style="font-weight: 400;"><strong>As leaders, we also need to keep thinking about how the team feels and what we can do about it.</strong> It’s not the same to ask your team for a push to meet a deadline when they know they will be appreciated and even compensated in the end. Giving people an extra day off for example. More importantly, we need to make sure people feel comfortable voicing concerns. <strong>Having a safe space where people can speak up if they feel overwhelmed or if they need extra support is not easy, but it’s definitely a must-have to ensure satisfaction and wellbeing. </strong></span></p>
<h2><b>Flexibility: The Where, the When and the How</b></h2>
<p><img data-recalc-dims="1" loading="lazy" decoding="async" class="size-medium wp-image-3784 alignright" src="https://i0.wp.com/www.optimistperformance.com/wp-content/uploads/2022/06/Linkedin-Facebook-Designs-4.jpg?resize=300%2C300&#038;ssl=1" alt="productivity" width="300" height="300" /><span style="font-weight: 400;">We mentioned above that productivity is something really personal, what works great for one person, may not necessarily work for another. So, how can leaders ensure that everyone takes ownership of their productivity? By being flexible.</span></p>
<h3><b>The Where </b></h3>
<p><span style="font-weight: 400;">The debate around working from home or at the office doesn’t seem to have an end or a clear answer, and while some may misinterpret the motivations for working from home, <strong>the majority of individuals consider it as a tool to increase productivity.</strong></span></p>
<p><span style="font-weight: 400;">However, it’s not only about home or office, there are many other options. Some people may think better in busy spaces while others may need the quiet. Some people may even like to work outside. Even more, the same person can prefer different workplaces depending on the type of work they are doing.</span></p>
<p><span style="font-weight: 400;">Working from home can be great when doing something that requires our full attention, but being in the office can work magic when it comes to creative tasks.</span></p>
<h3><b>The When</b></h3>
<p><span style="font-weight: 400;">The When can be even more overwhelming than the where. According to </span><a href="https://www.psychologytoday.com/au/blog/social-instincts/201906/are-you-morning-person-night-person-or-neither" target="_blank" rel="noopener external noreferrer" data-wpel-link="external"><span style="font-weight: 400;">studies</span></a><span style="font-weight: 400;">, productivity levels are different depending on personality (night owls, lurks, nappers, etc…). Obviously, allowing individuals to work whenever they want isn&#8217;t always realistic, and it&#8217;s certainly never easy. However, flexibility is becoming essential in order to retain people. </span></p>

<p><span style="font-weight: 400;">Consider the case of a creative writer who is extremely prolific late at night. Couldn&#8217;t we allow them to write at night and work fewer hours during the day if we&#8217;ve prioritised and committed to a deadline? Another great example is parents who prefer to spend time with their children in the afternoon and early evening hours, then work in the evening to maximise productivity and life (this is certainly what some of our team does).</span></p>
<p><span style="font-weight: 400;">A few weeks ago, on LinkedIn, there was an interesting survey asking if people work on weekends. The majority, predictably, say yes, but what&#8217;s interesting is that they do it because it&#8217;s a calm time when they don&#8217;t have to check emails or know they won&#8217;t be interrupted.</span></p>
<h3><b>The How</b></h3>
<p><span style="font-weight: 400;">Following the interruption point, there are numerous methods in which we may provide flexibility in the How. To decrease interruptions and boost productivity, several </span><a href="https://sloanreview.mit.edu/article/the-surprising-impact-of-meeting-free-days/" target="_blank" rel="noopener external noreferrer" data-wpel-link="external"><span style="font-weight: 400;">firms</span></a><span style="font-weight: 400;"> are introducing meeting-free days or attempting to reduce the number of meetings or emails. However, we must always keep in mind that there is no one-size-fits-all solution while developing new ways of working.</span></p>

Or that, even if the interruption is brief, it takes us 23 minutes or more to refocus?</span></p>
<p><span style="font-weight: 400;">Furthermore, interruptions aren&#8217;t always associated with meetings; they can be as simple as responding to a quick slack message or checking our emails to ensure we don&#8217;t miss anything important. </span><a href="https://www.wrike.com/blog/why-email-is-addictive-how-to-break-habit/#:~:text=The%20average%20worker%20is%20interrupted%20every%2010%20minutes%20or%20an%20average%20of%2056%20times%20per%20day%2C%20and%20it%20takes%20around%2025%20minutes%20to%20completely%20refocus%20attention%20back%20on%20the%20original%20task." target="_blank" rel="noopener external noreferrer" data-wpel-link="external"><span style="font-weight: 400;">Did you know</span></a><span style="font-weight: 400;"> that the average employee is interrupted every 10 minutes, or 56 times each day? On top of that, we need to consider all the notifications we receive daily from different sources. If we start summing everything up, it’s a wonder how we get anything done at all. </span></p>
<p><span style="font-weight: 400;">Fortunately, there are things we all can do to reduce interruptions, but as leaders, we have the opportunity to provide even better solutions. <strong>Allowing people to schedule time for <a href="https://clockify.me/blog/managing-time/deep-work/" target="_blank" rel="noopener external noreferrer" data-wpel-link="external">deep work</a> where they are completely off the radar can be a great way to deal with interruptions.</strong> However, we need to be conscious of what that means for the team and the organisation because, in the end, it all comes down to trust and transparency. Are you, as a leader, willing to relinquish some control in order to increase productivity? Do you trust people enough to know that they are working to the best of their ability? <strong>Allowing flexibility is a matter of trust, without trust, there will never be real flexibility.</strong> </span></p>
<h2><b>The Optimist view…</b></h2>
<p><span style="font-weight: 400;">The leader&#8217;s job is not to tell people how to do their job, but to create a safe and great environment where people can shine. As leaders, we must recognise that each individual is unique and we need to allow them to be themselves. Because it’s only when people are at their best, that they do their best work. </span></p>

<p><span style="font-weight: 400;">However, despite this, we can still manage to improve our productivity and reap the rewards. </span></p>
<p><strong><i>Being</i> and <i>feeling</i></strong><span style="font-weight: 400;"><strong> productive reduces stress and anxiety, benefiting our work-life balance.</strong> Even more, it gives us a sense of accomplishment and makes us feel good about ourselves. </span></p>
<p><span style="font-weight: 400;">If you are going to be productive, it’s crucial to understand that productivity doesn’t increase by working longer hours. If anything, knowing that you will be working late gives your mind an excuse to postpone tasks. </span></p>

<p><span style="font-weight: 400;">This doesn’t mean we should work only three hours a day, but it can help us organise our workload and help ease <a href="https://www.optimistperformance.com/captains-blog/news/optimise-the-power-of-your-thoughts/" target="_blank" rel="noopener" data-wpel-link="internal">our minds,</a> resulting in us letting go of the guilt we sometimes feel when we are not productive enough.</span></p>
<p><span style="font-weight: 400;">So, the ultimate question is how can we be more productive? Here, we have gathered 7 tips that our team uses to increase productivity.</span></p>
<h2><b>How to increase our productivity</b></h2>
<h3><b>Be realistic about time </b><span style="font-weight: 400;"> </span></h3>
<p><span style="font-weight: 400;">How much time do you have? How long does it take to do different tasks? What can you do with the amount of time you have? Answering these questions is the first step to increasing productivity. </span></p>
<p><span style="font-weight: 400;">Sometimes, we set ourselves up for failure just because we are not realistic about time. </span></p>
<p><span style="font-weight: 400;"><strong>Measure your tasks.</strong> Knowing how long it takes you to do something is essential. </span></p>
<p><span style="font-weight: 400;"><strong>Understand that productivity isn’t static.</strong> We are not as productive every day, and we shouldn’t punish ourselves for it. </span></p>
<p><span style="font-weight: 400;"><strong>Allow time for fallback activities.</strong> Allocate some time during the week to catch up on all the things you may not have finished. </span></p>
<p><span style="font-weight: 400;">A member of our team leaves her Friday afternoons pretty open. By doing this, she ensures that everything gets done before the end of the week. </span></p>
<h3><b>Evaluate your processes</b></h3>
<p><span style="font-weight: 400;">In the same way that you re-evaluate and measure the time needed for each task, you should evaluate and measure the efficiency of your processes. </span></p>
<p><span style="font-weight: 400;">Sometimes, the way we do things is established by people who are not doing that job. Or maybe we built those processes based on old technology and old ways of working. All of these can have a significant impact on how productive we are. </span></p>
<p><span style="font-weight: 400;"><strong>Re-evaluate every process</strong> &#8211; make sure you reconsider how things are done, both personally and within the company and don’t be afraid of change.</span></p>
<p><span style="font-weight: 400;"><strong>Involve the right people</strong> &#8211; it is essential to involve the people who are actively using those processes. </span></p>
<h3><b>Avoid multitasking</b><span style="font-weight: 400;"> </span></h3>
<p><span style="font-weight: 400;">We all encounter multiple distractions that take our attention away instantly. For example, we lose our concentration even just by answering a 2-minute email. Regaining that concentration is what takes more time and, in turn, makes us less productive. </span></p>

<p><span style="font-weight: 400;"><strong>Put all your energy and attention into the task at hand,</strong> and forget about the rest. </span></p>
<p><span style="font-weight: 400;"><strong>Use different tabs on your computer.</strong> For example, if you want to have your email open at all times, you can use a different tab for other activities to help keep your concentration (out of sight, out of mind). </span></p>
<p><span style="font-weight: 400;"><strong>Schedule time to look at your emails, notifications and messages.</strong> For example, instead of jumping from one task to the next, use 10 or 15 minutes to check your emails. This way, you are reachable and aware of “news” during the day and avoid the need to look at every notification as soon as you get it. </span></p>
<h3><b>Prioritise and organise your workload efficiently</b></h3>
<p><span style="font-weight: 400;">Being organised is a crucial element to success and having to-do lists is a great organisation technique. Use them wisely, and they can be your best friend; use them wrongly, and they can transform into your worst enemy. </span></p>
<p><span style="font-weight: 400;">There will always be about a thousand things we need to do, making it pretty easy to create a never-ending to-do list. The trick here is to prioritise and organise. </span></p>
<p><span style="font-weight: 400;"><strong>Use to-do lists wisely</strong> &#8211; for example, create a long list of everything that has to be done, then, from that list make a daily to-do list; this way, you only focus on what you need to do today. </span></p>

We are freeing them from having to remember a lot of things. </span></p>

<p><span style="font-weight: 400;"><strong>Move one step at a time.</strong> Sometimes we tend to add everything into our lists when in reality, we have to follow a structure. For example, you can’t write an article without doing research. So, avoid putting all the steps down at once; instead, only include the one you need to do before moving to the next. </span></p>
<p><span style="font-weight: 400;"><strong>Avoid writing the big tasks.</strong> Everything we do has multiple steps and processes, so instead of adding the big result, add the small steps. By doing this, we give ourselves a sense of accomplishment, allowing us to enjoy the small victories. </span></p>
<h3><b>Be self-aware</b><span style="font-weight: 400;"> </span></h3>
<p><span style="font-weight: 400;"><strong>Being productive hinges on self-awareness.</strong> It’s essential to understand when we are more productive, when we are more creative, where we do our best work and which tasks we drain the most. By knowing all these, we can organise our work and life more efficiently. </span></p>
<p><span style="font-weight: 400;">For example, a person on our team knows that her most productive time is Tuesday mornings. This insight gives her the ability to organise her weekly calendar accordingly. Another person on our team concentrates better at night, so he takes advantage of these quiet hours to get his work done.</span></p>
<p><span style="font-weight: 400;"><strong>Choose your hours.</strong> Depending on how much flexibility you have, you should organise your tasks depending on what works best for you. For example, if you know you’re more creative at night, what’s the point in waking up at 5 AM? </span></p>
<p><span style="font-weight: 400;"><strong>Choose your location.</strong> Here we don’t only mean choosing to work in the office or at home, we mean that some tasks don’t require us to be sitting at our desks. For example, when we have to listen to videos, podcasts, etc. we do it while going for a walk, this way we maximise the time we spend at our desks. </span></p>
<h3><b>Create a routine and healthy habits</b><span style="font-weight: 400;"> </span></h3>

<p><span style="font-weight: 400;"><strong>Plan your small decisions.</strong> Sometimes we waste precious time on trivial decisions and having a routine can help avoid it. For example, knowing what you are eating or having a precise schedule to do things frees up our minds from many distractions.</span></p>
<p><span style="font-weight: 400;"><strong>Create healthy habits.</strong> Exercising, eating healthy or sleeping well help us be more productive, for example, exercising before work gives us more energy and activates our minds. On the contrary, eating heavy meals at lunch makes us feel sleepy and lowers our productivity. </span></p>
<p><span style="font-weight: 400;"><strong>Control your thoughts.</strong> Our minds are always wondering, either to the past or to the future. By staying in the present, we can increase our focus and, therefore, our productivity.  </span></p>
<h3><b>The “gone with the wind” trick</b></h3>
<p><strong><i>“After all, tomorrow is another day.”</i></strong><span style="font-weight: 400;"><strong> </strong> We need to accept that our productivity won’t always be the same and that tomorrow will be another day. Also, sometimes we make the mistake of overloading our to-do lists. So, this trick can help you let go when you need to. </span></p>
<p><strong><i>“I can’t think about it now; I will think about it tomorrow.”</i></strong><span style="font-weight: 400;">  Our minds will always give us things to think about even if we realise that it’s not the right time and that we cannot do anything about it right now. So when this happens, just think about Scarlet O’Hara and tell your mind that you can’t think about that right now, you will think about it later. </span></p>
<p><span style="font-weight: 400;">Every day is different, so we can’t always use the same ruler. Also, we are not machines immune to outside events. Sometimes, we are just not at our best for whatever reason and that is ok too. </span></p>
<p><span style="font-weight: 400;">Using these tricks is not about postponing our work, quite the opposite. It’s about being aware of what we need to focus on and knowing when it’s time to let go. </span></p>
<h2><b>How to feel productive</b></h2>
<p><i><span style="font-weight: 400;">Being</span></i><span style="font-weight: 400;"> productive and </span><i><span style="font-weight: 400;">feeling</span></i><span style="font-weight: 400;"> productive are not the same. Many people and especially, high achievers, tend to be really hard on themselves and create unrealistic goals.  </span></p>
<p><span style="font-weight: 400;">Aiming for greatness and having high goals and expectations is excellent and can help our growth but we shouldn’t measure our productivity in comparison to incredibly high expectations. </span></p>
<h3><b>Choose the right picture to look at </b></h3>
<p><span style="font-weight: 400;"><strong>Sometimes it’s helpful to look at the big picture.</strong> For example, there are tasks that help us advance later, but sometimes they can seem unproductive. </span></p>
<p><span style="font-weight: 400;">In this case, it’s wise to look at your whole week, where you can see that spending an entire day on these tasks helps you do the rest of your tasks more efficiently. </span></p>
<p><span style="font-weight: 400;"><strong>Other times, looking at the big picture can have the opposite effect.</strong> For example, if we start thinking about all the things that need to be done next month, we will probably get overwhelmed. </span></p>
<p><span style="font-weight: 400;">So we need to focus on the here and now, our task at hand and what we can do today. </span></p>
<h3><b>Reflect on yourself</b></h3>

<p><span style="font-weight: 400;"><strong>We also need to celebrate small victories</strong> and pat ourselves on the back when we do things right. </span></p>
<p><span style="font-weight: 400;">In addition, reflecting on our work can help us understand why we are not as productive or how we can improve. </span></p>
